How to Become a Virtual Volunteer

  • Thank you for your interest in volunteering with the Chapel Hill-Carrboro City Schools Virtual Volunteer Tutor Program.

    Below are the necessary steps in order to work with our students as a virtual volunteer tutor.  You must complete steps 1 - 4 before you can be matched with a student.

    1. Register as a CHCCS Volunteer Volunteer Registration.

    2. Complete a CHCCS Background Check.  Click “CHCCS Virtual Volunteer”

    3. Read and sign the Memorandum of Agreement.  Scan or email a photo of the two signature pages to

    4. Complete the technology training:  Technology Responsible Use Policy and Google Apps Security and Compliance  

    5. After steps 1-4 have been completed, the district will create a CHCCS Google account for you.  The tutor will receive a notification for how to access the new CHCCS gmail.
      • All volunteers will need to first enroll in the CHCCS Password Reset Website.
      • The Volunteers' CHCCS account credentials/password reset website instructions will be sent to their personal email address as part of the account creation.  (The "Welcome to CHCCS email" will come from BetterCloud.  Please double check your SPAM or Junk folder.)
      • This temporary CHCCS account is set up to be automatically suspended at the end of June 2021.

    6. Once you have your CHCCS gmail, you will need to create a Nicknamed Google Meet.  How to Create and Manage a Nicknamed Google Meet  (We suggest using “tutor” plus your CHCCS gmail as your Nicknamed Meet Code.  For example, the email, would have the Nicknamed Meet Code as tutorabcsmith.) 

    7. Tutors can view teacher requests through the Volunteer website under Virtual Tutoring Opportunities.  Once a placement is selected, please email the Volunteer Department at and include the Project Code for the placement.  You will receive an email from “Volunteer Manager” with the Volunteer Placement Confirmation that will include the teacher’s contact information.  If the placement is no longer available, you will be asked to select another one.

    8. The tutor will contact the teacher as soon as possible in order to get the parent and student contact information, as well as any assignments needing to be covered.
    9. The tutor will email the student’s parent/guardian to arrange the first Google Meet time.  All initial meetings must be with a parent/guardian and the student.  (If the parent/guardian is unable to meet with the tutor, an email statement granting permission to meet with the child, will suffice.)  A tutoring schedule will be arranged during the first meeting.

    10. The tutor and the student will use the tutor’s Nicknamed Meet Code for all Google Meets.  The tutor MUST be the first one in the Google Meet in order to let the student in, so please plan to be in the session prior to the arranged time. The tutor MUST wait for the student to hang up before ending the call.  Google Meet Security Controls

    11. After each tutoring session, the tutor will complete the Virtual Tutoring Log.
